1. Introduction
Our company “URBANGREEN E.E.” pays special attention to security and respects the privacy and confidentiality of your personal data and privacy.
With this policy “URBANGREEN E.E.” which is located in Heraklion, Attica, at 11, Markos Botsaris Street, (hereinafter referred to as UrbanGreen), determines and discloses the conditions under which it collects, stores, uses and generally processes your personal data, which it collects when you visit, register or use its websites and mobile applications, as well as when you interact with its employees in its physical stores, by telephone or by any other appropriate means.
This Privacy Policy also describes how we use, share and protect your personal data, the choices you have regarding your personal data, and how you can contact us. This Privacy Policy is in accordance with the terms resulting from Regulation (EU) 679/2016, Law 4624/2019 and any other relevant applicable legislation.
This Policy is updated from time to time and may be amended whenever deemed necessary, without prior notice, always within the applicable legal framework and in accordance with any changes in the applicable data protection legislation. We therefore recommend that you check this Policy periodically in order to be informed of any changes that have taken place.

2. What is Personal Data?
The term “personal data” refers to any information concerning an identified or identifiable natural person, i.e. information of natural persons, such as name, postal address, e-mail address, contact telephone number, etc., which identifies or can identify you, hereinafter referred to as “Personal Data or Data”.
3. What is Processing of Personal Data?
“Processing of personal data” is defined as any operation or set of operations which is performed, whether or not by automated means, on personal data or on sets of personal data, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or any other form of making available, alignment or combination, restriction, erasure or destruction.
UrbanGreen will not process your personal data without your consent. However, UrbanGreen reserves the right, in exceptional cases, to process your personal data to the extent permitted or required by law, and/or by court orders and/or prosecution orders/procedures.
4. Is the provision of your Personal Data mandatory?
The provision of the Data to the Company may be necessary to achieve the purposes specified in this Privacy Policy or may be optional.
The mandatory or optional nature of the provision of Data is indicated by an asterisk (*) next to Personal Data of a mandatory nature.
If you refuse to provide the data marked as mandatory on the Sites, it will be impossible to achieve the basic purpose for which the Data is collected, and may, for example, make it impossible for UrbanGreen to fulfill the sales contract, communicate or provide the other services provided by our company.
The provision of additional Data to UrbanGreen, in addition to those marked as mandatory, is optional and does not entail any consequences in relation to the main purposes of the Data collection, since their provision serves exclusively to optimise the quality of the services provided by us.
5. What Personal Data do we collect from you?
We aim to collect only the strictly necessary Personal Data that is appropriate and clear for the purpose for which it is intended. This Data includes the following:
a. Data that you provide to us when you register and create a user account on UrbanGreen’s Sites or Apps, via the internet or your mobile phone or through your personal contact with our employees, and specifically data such as your email address*, first name, last name, postal address, telephone number and password/login password (if you have created an account in one of our Company’s Apps).
b. Data and information that you provide to us through transactions between us (purchases, orders, etc.) and communication between us (through our physical stores, our website, our vendors, telephone, e-mail or any other way/medium).
c. Data relating to the method of payment for transactions you make with us.
d. Data that you provide to us when you subscribe to our newsletter.
e. Data about the products and services you usually prefer in order to recommend products and services of your interest and to further improve your shopping experience with us. Of course, you always have the option not to share such data with us.
f. Data and information that you provide to us when completing the questionnaires administered to you by our company, in order to inform us about the products and services of your interest so that we can further improve your shopping experience with us. Of course, you always have the option not to share such information with us.
g. Information collected from the use of cookies in your browser.
h. Messages via a contact form. You may submit your message to UrbanGreen either through the general contact form or on specially designed contact forms located on the service and/or product websites. By submitting your message via any contact form to UrbanGreen, you accept these terms regarding the use of your personal data (name and e-mail) by UrbanGreen. UrbanGreen commits not to use this information for marketing purposes or to transfer it to third parties.
i. Your social media username, if you interact with us through these channels to help us respond to your comments or questions.
6. What are the purposes of processing and how your data is used?
UrbanGreen uses, where applicable, your data in order to:
a. To complete orders for products and services: UrbanGreen processes your data in order to fulfil its contractual relationship, to process the order for products and/or services, to provide customer service, to comply with legal obligations, to oppose, raise or exercise legal claims. If we do not collect your data when you complete the order, we will not be able to process your order and meet our contractual and legal obligations. Please note that we may need to transfer your data to third parties to deliver the product or service you have ordered.
In addition, we may retain your Data for a reasonable period of time in order to fulfil our contractual obligations.
b. To create a User Account: UrbanGreen processes your Data in order to provide you with account functions (if you register for our company’s application) and to facilitate the purchase and/or services.
c. For communication: UrbanGreen uses your data to respond to requests and questions submitted, and/or any complaints. The information you share with us enables us to manage your requests and respond in the best possible way. We may also keep a record of your responses to questionnaires administered by our company in order to better respond to any contractual obligation and/or future communications.
d. To send you a newsletter: with your consent, we will use your Personal Data, preferences and transaction data to inform you via e-mail, internet, telephone and/or social media about relevant products and services, including personalized/personalized offers, etc. Of course, you have the possibility to withdraw this consent at any time.
e.To develop and improve the products and services we provide to you. Because we want to offer you offers and proposals that are more relevant to your interests and needs.
Links to other websites
a. The UrbanGreen website, in order to facilitate and serve you, may provide, among other things, a connection through “links” hyperlinks or advertising banners, with third-party websites and websites (e.g. LinkedIn, Facebook, YouTube, Instagram, etc.), for the content, privacy policy, security policy, completeness and quality of the services provided, or the terms of use, UrbanGreen cannot guarantee, nor does it bear any responsibility. The connection to these websites and web pages is the sole responsibility of each user/visitor. The aforementioned third parties, providers of these websites and web pages, have the full (civil and criminal) and exclusive responsibility for the security, legality and validity of the content of their websites and web pages, excluding any liability of the Company, such as, but not limited to, liability for intellectual property rights or any third party rights. Consequently, the Visitors/Users are obliged to address directly to the above third party providers for anything arising from the visit or use of their websites and web pages. For any problem that may arise during the visit of these websites, the sole responsibility is the respective administrator/owner of this website.
b. Although the Visitors/Users of this website accept that the Company is neither obliged nor able to control the security and content of both the websites and webpages and the services of third parties to which it provides access, it is nevertheless entitled at any time to remove, modify or discontinue any third party service or connection to third party websites and webpages, if in its judgment the law or these Terms are threatened or violated.
7. Who are the recipients of your data?
Personal data is collected and processed by the authorized employees of UrbanGreen, for the purposes of providing the service in question. The processing of your Personal Data may also take place through computer systems and electronic devices by our authorized employees. They are only passed on to authorised third parties who are committed to maintaining the confidentiality and protection of your Data, when they are required to have access to it in the context of providing the services in question.
UrbanGreen uses technical and organizational security measures to protect your Personal Data from accidental or intentional tampering, loss, destruction or access by unauthorized persons. Our security measures are constantly updated in line with technological developments
UrbanGreen is committed not to commercialize your personal data by making it available for sale/rent by giving/transferring/publishing or disclosing it to third parties or to use it in any other way and for other purposes that may compromise privacy, your rights or freedoms, unless it is required by law, court order/judgment, administrative act or is a contractual obligation necessary for the proper functioning of the URBANGREEN website and the realization of its functions.
8. What is our policy with third parties performing the processing of your Data in accordance with the above?
a. We only provide the information needed to perform their specific services.
b. They may only use your Data for the precise purposes we specify in our contract with them.
c. We work closely with them to ensure that your privacy is respected and protected at all times.
d. If we stop using their services, any of the data they hold will be deleted or made anonymous.
9. Which principles govern the processing of personal data by URBANGREEN?
UrbanGreen processes your personal data in a fair and lawful manner for clearly defined purposes. Your personal data processed by UrbanGreen is limited to what is strictly necessary to achieve these purposes, is accurate and up-to-date, is kept for a period of time determined by the purposes of the processing, is protected by sufficient security measures and is not transferred to countries that do not ensure an appropriate level of protection.
10. For how long is your personal data kept?
Your personal data is kept for as long as required by the nature of the service provided by URBANGREEN that you have chosen, for as long as necessary to fulfil the purposes set out in this Policy and additionally for as long as required by applicable law.
We also provide you with some examples of how Your Data will be retained:
a. Orders: From the completion of an order, we retain your personal data for five (5) years, so that we can comply with our contractual and legal obligations under applicable law.
b. Guarantees: If your order included a warranty, your Personal Data will be retained until the end of the warranty period.
c. Newsletter: Your declaration of consent for sending a newsletter is kept for as long as the newsletter is sent to you by our company and in any case not more than six months from the discontinuation of its dispatch.
11. What are your rights?
Α. You have a Right of Access and Information in relation to your Personal Data:
You have the right to ask us at any time what personal data we process, the purposes of the processing, the type of data we process, whether we provide it to third parties and to whom, for how long we keep it, and other relevant information. You also have the right to receive a copy of your personal data (in an accessible format) upon your request to our company.
Β. You have the right to have inaccurate personal data corrected:
You have the right to request the updating, completion and/or correction of your data by submitting to our company the relevant correction request (e.g. correction of name or correction of email address).
C. You have the right to delete your data – Right of Cancellation – Withdrawal of Consent:
You may request us to delete your data from URBANGREEN’s systems, provided there is no other legal obligation to retain it.
You may object to the processing of your Data and we will stop such processing, if there are no other legal grounds requiring the processing of your Data.
If you have consented to the collection, processing and use of Your Data, you may withdraw your consent at any time. Withdrawal of consent is prospective and therefore does not affect the lawfulness of the processing based on the consent that existed prior to the withdrawal.
12. How can you exercise your rights?
You can exercise all of the above rights by submitting a request in writing to info@urbangreen.gr under the heading “Personal Data – Exercise of Rights” and we will review and respond to you within a reasonable time.
URBANGREEN will make every effort to respond to your requests without delay and in any event within one month of receipt. This period may be extended by two (2) more months, if necessary, taking into account the complexity of the request and the number of requests. You will be informed of this extension and the reasons for the delay within one month of receipt of the request by URBANGREEN.
Exception:
– if you wish to correct your Data in your user account, you can log in to it and make any correction/change without having to submit a Request.
– If you wish to withdraw your consent for sending a newsletter, you can do so by selecting the link “To unsubscribe from the “newsletter mailing list” click here” located at the bottom of each newsletter.
Identity check
To protect the confidentiality of your information, we will ask you to verify your identity before proceeding with any request you make under this Privacy Policy. If you have authorized a third party to make a request on your behalf, we will ask them to demonstrate that they have your permission to act for this purpose.
In any case, you have the right to contact the competent authority for the protection of personal data (DPA, www.dpa.gr) and/or to take legal action. Any request submitted must be accompanied by appropriate identification evidence and the required information (e.g. the data that need to be corrected) must be provided, as described in the terms of use of the service in question. URBANGREEN may request additional information necessary to confirm your identity.
13. Underage Users
Minor visitors have access to our services only with the consent of their parents or guardians. In case of submission of personal information by minors, UrbanGreen will delete all relevant information as soon as it becomes aware of this or finds out about it in any way.
14. Which is the applicable law when we process your Data?
The applicable legislation for the protection of personal data is the General Data Protection Regulation 2016/679/EU, and Law 4624/2019, which incorporates Directive (EU) 2016/680 of the European Parliament and of 27 April 2016, and in general the applicable national and European legislative and regulatory framework for the protection of personal data.
Please note that our company may transfer your personal data to countries within the European Union where General Data Protection Regulation 2016/679/EU applies and to countries outside the European Union only when they apply rules for the protection of personal data that are deemed as adequate by the European Union.
In case URBANGREEN, in order to serve the purposes of processing, transfers your data to a country outside the European Union, our company commits itself that it has taken the necessary guarantees for the protection of your data.
We also inform you that the protection of your personal data is also based on Article 8 (1) of the Charter of Fundamental Rights of the European Union as well as on Article 16 (1) of the Treaty on the Functioning of the European Union (TFEU).
Any dispute arising from or relating to the protection of your Personal Data may also be resolved by mediation in accordance with the Mediation Regulation of the European Organisation for Mediation and Arbitration (EOIM). In the event that the dispute or part thereof is not resolved through mediation, the dispute or the unresolved part thereof shall be resolved exclusively, finally and irrevocably by an arbitral tribunal, appointed and conducting the arbitration in accordance with the ECHR Arbitration Rules.
15. Where can you appeal if we violate the applicable law for the protection of your Personal Data?
You have the right to lodge a complaint with the Data Protection Authority if you believe that our processing of your Personal Data violates applicable national and regulatory data protection law.

16. How will you be notified of any changes to this Policy?
We update this Privacy Policy whenever necessary. If there are significant changes to the Privacy Policy or the way we use your Personal Data, we will post an update to this Privacy Policy on our website before the changes take effect and notify you by any appropriate means.
